AJ Beef App — Privacy Policy

The AJ Beef mobile app for iOS and Android is an internal business tool used by authorized AJ Beef staff to record cattle pickups. It is provided for AJ Beef business use by people with an AJ Beef account and is not offered to the general public. This policy explains what the app collects and how that information is handled.

What the app collects

• Account information — your name, email address (used to sign in), your role, and a phone number if AJ Beef holds one for you. The phone number is optional profile information entered by AJ Beef, not by you; it is not used to sign in, and the app does not send text messages.
• Pickup slip records you create — the slip photo (taken with the camera or attached from your device), the details you enter on the slip, and the date and time it was captured.
• Location, when you allow it — the app takes a location reading when you take or choose a slip photo, and again when the slip form opens; just one of them is stored with the slip, and if neither has arrived by the time you submit, one may still be added to it shortly afterwards. To stay quick the app may reuse a position your device recorded moments earlier. That point records where you were while making the slip, so the office can see where it came from and match it to the right dairy — normally the pickup, though if you attach a photo from your library later, or somewhere else, it is where you were then rather than where the pickup happened. A slip that stops and asks you to retry it can have its location updated before it is sent again. Your location is read only while you have the app open and are working on a slip: no background tracking, no route history, nothing recorded between slips. You can decline location access and still submit slips.
• Device and technical information — a push-notification token so the app can send you operational notifications; basic usage events and error reports used to keep the app reliable; and standard server logs (such as IP address and app version), kept briefly for security and reliability.

The app does not collect your contacts, messages, calendar, browsing history, health, or financial information, and it does not use advertising identifiers.

How the information is used

To record and sync pickup slips with the AJ Beef office, operate your account, send operational notifications, keep the app secure and reliable, and give AJ Beef the oversight of its own operation described in the next section.

What your manager and the office can see

This is a workplace tool, so the work you record in it is visible to AJ Beef.

• Every slip you submit is attributed to you by name. If a location reading was captured, it is stored on that slip and shown with it — to AJ Beef administrators in the back office, including on an internal map of where slips were captured, and to your manager through their access to your team's slips.
• The system reads slip records for simple patterns and raises flags — for example a dairy that looks overdue for a pickup, or a driver who has not submitted a slip for several working days. A flag about a driver names that driver and goes to their manager and to AJ Beef administrators. Flags are worked out from slip records when someone asks for them, rather than kept as a record about you, and they stop once the activity resumes.
• Changes made in the AJ Beef back office are recorded in an activity log that keeps the name of the person who made the change, what changed, when, and any note they wrote.

This covers what you do in the app and nothing else. The app does not follow your location outside slip capture, does not read your messages or contacts, and does not monitor your device.

Automated and AI processing

AJ Beef uses Amazon Bedrock — an AWS service running in the United States — for automated processing of records from the app. Today that is a plain-language summary of the back-office activity log, produced when an AJ Beef administrator asks for one; the entries sent for that summary include the name of the person who made each change, any note they wrote, and the values that changed, which can include a phone number on a staff record. Automatically pre-reading pickup slip photos, so their details can be checked and completed by a person, is the same kind of processing and may be enabled on the same basis. Bedrock handles this as our service provider inside AWS; the content is not used to train AI models and is not shared with any other provider. Summaries are generated on request and are not stored. These outputs are advisory only — no decision about you is made automatically.

How the information is shared

We do not sell your information, share it with third parties for their own purposes, or use it for advertising or cross-app tracking. Data is stored and processed in the United States on Amazon Web Services (AWS), which hosts the AJ Beef backend and provides the automated processing described above as our service provider. We may disclose information if required by law, or to protect the rights, safety, and property of AJ Beef.

How the information is protected

Data is encrypted in transit (HTTPS/TLS), and sign-in tokens are held in the device's secure keychain/keystore. The copy of your already-submitted slips that the app caches on the device for offline viewing is encrypted as well, under a key held in that same keychain/keystore, and both are erased when you sign out.

Data retention

Slip records, the back-office activity log, and account information are retained for as long as needed for AJ Beef's business and record-keeping, and as required by law. Logs and diagnostic data are kept only as long as needed to keep the app reliable.

Your choices, and access or deletion requests

Location and notifications can be turned off in your device settings at any time, and the app still works without them.

Accounts are issued and managed by AJ Beef. To see or correct your information, contact us at the email above or ask your manager; we will correct inaccurate profile details and can remove optional ones, such as a phone number.

Deletion works differently here than in a consumer app, so it is worth stating plainly. Slips and the back-office activity log are AJ Beef's business and financial records: they are kept and are not erased on request. When someone leaves or no longer needs access, their account is deactivated — sign-in stops working — but the account record remains, and their name stays attached to the slips they submitted and the entries they made. If you want your information deleted, write to us at the email above and we will tell you what can be removed and what AJ Beef has to keep.

Children

The app is a workplace tool and is not directed to children; we do not knowingly collect information from anyone under 18.
